Zen Cryo LLC (“Zen Cryo,” “we,” “us,” “our”) explains how we collect, use, disclose, and protect personal information when you use zencryo.com, our booking forms, messaging, and related services (the “Services”). By using the Services, you agree to this Policy and our Terms.
We are not a healthcare provider and are not a HIPAA-covered entity. Health-related intake data you choose to share is treated as sensitive personal data and handled accordingly.
1) What we collect
Identifiers and contact data. Name, email, phone, address, booking details.
Commercial data. Services purchased, dates, offers, memberships, gift cards.
Payment data. Processed by our payment processor (Stripe). We do not store full card numbers.
Device/usage data. IP address, pages viewed, timestamps, referring URLs, approximate location, and similar via cookies or SDKs.
Communications. Messages, call/text logs, preferences, support requests.
Sensitive personal data (you provide). Intake responses, goals, contraindications, service notes used for safety and eligibility.
We do not knowingly collect data from children under 13. For minors receiving services, a parent/guardian must consent in person.
2) How we use data
Provide, secure, and improve the Site and Services.
Book, confirm, reschedule, and manage appointments.
Process payments and prevent fraud.
Send service messages and reminders; send marketing if you opt in.
Maintain safety, comply with law, enforce Terms, and protect our rights.
Run analytics and measure performance (aggregated or de-identified where feasible).
3) Texas privacy disclosures
We process the categories in §1 for the purposes in §2.
Sensitive data notice: intake data is sensitive; used only for service safety/eligibility and related communications.
Sale/ads/profiling: We do not sell personal data. We use Meta/Google tags for measurement and ads. You can opt out of targeted advertising (see §8). We do not use automated decisions with legal or similarly significant effects.
We maintain reasonable safeguards and contracts with processors.
4) Your rights
Subject to verification and legal exceptions, you may:

Portability: obtain a copy in a portable format.
Opt out of targeted advertising and of any sale or certain profiling.

We share data with:
Service providers/processors: GoHighLevel (LeadConnector) for CRM/booking/messaging; Stripe for payments; email/SMS vendors; hosting; analytics; security; support. They must use data only under our instructions.
Business transfers: as part of a merger, financing, or sale.
Legal/safety: to comply with law or protect rights, safety, and property.
We do not sell personal data.
8) Your Privacy Choices
Opt out of targeted advertising: use the Cookie Preferences link in our footer to disable advertising/analytics tags. You may also use platform controls (Google/Meta ad settings). We respect recognized universal opt-out signals sent by your browser or extension.
Email marketing opt-out: use the unsubscribe link in any marketing email.
SMS opt-out: reply STOP.
Limit sensitive data: do not submit health details you are not comfortable sharing. Some intake items may be required to assess safety.
9) Data retention
We keep personal data only as long as needed for the purposes in §2 and to meet legal, tax, and accounting requirements, then delete or de-identify it.

Booking and transaction records: 3–7 years
Intake forms and service notes: 3–7 years
Marketing preferences and logs: until you opt out or 24 months of inactivity
Security logs: 12–24 months
10) Security
We use reasonable safeguards: encryption in transit, access controls, least-privilege, logging, and vendor due diligence. No method is 100% secure. If a data breach occurs, we will notify you and, if required, the Texas Attorney General in the timelines required by law.
11) Payment processing
Payments are handled by Stripe. Stripe processes your card data and stores it under its PCI-DSS program. We do not store full card numbers.
12) International transfers
We operate in the U.S. Data may be processed in the United States and other locations where our providers operate.
13) Third-party links and tools
Links and embedded tools may take you to third-party sites or services. Their privacy policies govern those properties.
14) Changes to this Policy
We may update this Policy. Material changes will be posted with a new “Last updated” date and advance notice when required. Continued use after the effective date indicates acceptance.
